what a great idea!

i would (from experience hosting a large bbq in the past) keep it as simple as you can. if you have grassy areas, just leave them mostly open and people can bring soccer ball/lawn darts/games/whatever and fill the space without any effort by the host. kids usually gravitate to kids, and go and do their own thing...bbq for sure, BYO as much as possible (food, plates, utensils, chairs, tent if needed, etc). if you ask people may be able to bring a bbq or portable smaller gas stove, potluck stuff, extra tank of propane for the bbqs etc. people can "tailgate" where they park, and 50 gallon drums with drumliners make quick garbage receptacles-or the empty feed bags, and bonus if they're paper they're burnable after...if everyone brings and uses paper plates etc, they're great for the bonfire after dinner which makes clean up really easy, just throw the entire feed bag with all the paper into the fire. have a garden hose available to rinse dishes if needed before travelling, people can wash their own casserole dishes and serving spoons when they get back home. and if they need their dish to stay cool, they bring the ice and container for the ice.....another thing that REALLY helped was renting a port-a-pottie toilet...do a collection at the event to help pay the rental. VERY worth it, otherwise it's hard on the septic system if you aren't on municipal. people can bring hand sanitizer and paper towels etc. Also did something that really helped when the day came and that was having stakes with signs for parking..aka park here....with arrows....and one person organizing the parking so people weren't parked everywhere all over that lawn that you wanted people to play lawn darts on. those all get set up before hand, and then as the party ends i'm sure there will be some folks willing to help clean up and make sure the garbage is up, nothing on the ground, and remove the signs etc. if you don't want anyone in an area, just rope it off or put up a sign "on pain of death" or something suitable like that. i found that mentioning anyone found in the barn has to muck the stalls and do chores seems to keep people out of the barn.....hm, not sure that would work with this group of animal lovers though-we'd all want to play with the animals!.....lay down the rules before hand-parents parent their own kids, any kids left unparented will be fed to the alligator in the pond....things like that.

unfortunately i can't commit right now....but if there's some way that it's possible i would LOVE to come-and even help out setting up/cleaning up, and would drag bayvistafarm along and my hubby and maybe even ross if he's up for coming. pick them up on the way :-) but have to wait on the "ruling" from the appointment with the surgeon in march. should know more after i see him......
